Agreement, made by and between Hytched Weddings & Events and the Bride and Groom for their wedding day, April 29th, 2016.

CHANGE / CANCELLATION:
Any changes/cancellation made to this contract must be made in writing and signed by all parties.

There is a Cancellation Fee in the amount of 10% of the contracted planning fee: $220.  This is non-negotiable and protects Hytched Weddings & Events against time, and/or money lost, in the event of a cancellation.  

In the event the wedding couple is forced to change the date of the wedding, every effort will be made by Hytched Weddings & Events to transfer location reservations, sub-contractors and The Wedding Coordinator support to the new date. The wedding couple agrees that in the event of a date change any expenses including but not limited to deposits and fees that are non-refundable and non-transferable are the sole responsibility of the wedding couple. There may also be additional charges above and beyond those set in the original contract. The wedding couple further understands that last minute changes can impact the quality of the event and that The Wedding Coordinator is not responsible for these compromises in quality.

If the bridal couple changes the date/location of the wedding and the wedding planner is unavailable to provide services, then the wedding planner is released from all contract obligations and shall in no way be held responsible or liable for non-performance. The couple also forfeits all costs for non-compliance with this agreement.

Hytched Weddings & Events will always do its best to find the top suppliers wherever the wedding location is, but we cannot be held responsible for any supplier/service provider’s performance or product.

Cancellation by the Bride & Groom:

In the event of a cancellation, refunds are limited to unearned fees. Deposits are non refundable and any earned fee will have to be paid in full within 30 days of cancellation.

Cancellation by Hytched Weddings & Events:

Should Hytched Weddings & Events be unable to perform any specific tasks in the planning of a wedding, due to the wedding planner illness or hospitalization, unearned fees will be refunded and we will do our best to find a substitute Wedding Planner.

Hytched Weddings & Events is not responsible for any events preventing the wedding to happen, such as fire, flood, earthquake or any other natural or human acts.

BRIDAL COUPLE RESPONSIBILITIES:

The couple is responsible for paying suppliers directly. Hytched Weddings & Events does not accept commissions from any suppliers.  All suppliers/services contract will be between the bridal couple and the supplier/service provider.

The bridal couple is responsible to pay Hytched Weddings & Events as per contract. In the event payment hasn’t been received within two weeks of being invoiced, then Hytched Weddings & Events reserves the right to cancel the contract and your wedding date & time may be re-booked by other parties, without exception and without notice. Payment will still be due to avoid legal action.

On the wedding day, the bridal couple is responsible for travel expenses to be calculated depending on location, if the Wedding venue is more than 50 miles round trip to the wedding coordinator’s home.

Any items needed for the wedding (ceremony & venue) must be purchased by the bridal couple in advance. Hytched Weddings & Events is more than happy to do the shopping, but payment will be due before we start buying.

HYTCHED WEDDINGS & EVENTS RESPONSIBILITY:

Hytched Weddings & Events responsibilities include:

  • (1) Initial phone consultation
  • (1) On site meeting at wedding venue to visually plan and get a feel for the event
  • Referrals to outstanding vendors
  • Unlimited phone and email communication
  • Creation and execution of wedding day timeline
  • Contact and coordination of all vendors to ensure a flawless event
  • Attendance and coordination of wedding rehearsal
  • Distribution of final payment to vendors
  • Set-up and tear-down management, ensuring a beautiful and well-organized event
  • Wedding day emergency kit for any wedding mishaps
  • Ten hours on wedding day

The Wedding Planner understands her/his role will be that of adviser and coordinator. The bridal couple will make all the selections of suppliers/service providers. 

The Wedding Planner will use her/his judgement when taking action in regard to changes, weather, tardiness, non performance etc. based on the situation, time limitations and/or your wishes. 

In the event of any supplier/service provider’s cancellation, Hytched Weddings & Events may substitute a new supplier/ service provider with or without advance notice to the couple at its discretion and any additional costs to be paid by the couple.

The bridal couple gives permission and shall allow Hytched Weddings & Events to use any photograph of them, the wedding ceremony/reception setting for viewing on our website and any marketing materials for promotional purposes only. 

Hytched Weddings & Events gives permission and shall allow the couple to use any photographs/videos in which the wedding planner appears.

This agreement can only be modified in writing and all changes must be agreed and signed by all parties, or by the acknowledgment of email received by both parties.

FEES & PAYMENT SCHEDULE:
The bridal couple agrees to pay Hytched Weddings & Events a service fee of $2200 for the use of this wedding planning service, (there is an additional fee of 3% to pay via credit card, to offset our merchant fee) .  

Any mutually agreed additional services such as travel expense the wedding planner may incur is to be paid by the bridal couple.

Hours beyond the Hytched Weddings & Events responsibilities stated in this contract will be billed at an hourly rate of $100.

A non-refundable deposit of (25%) $566  is to be sent with this signed contract to secure a booking.

 $1133 due six weeks before the wedding day, on: 03/18/2016

$566  due two weeks before the wedding day, on: 04/15/2016

A payment plan can be arranged on a monthly basis, if required.  If the bride and groom wish to arrange a monthly payment plan, this must be noted on the contract.

TERM/TERMINATION:
This agreement will terminate automatically upon completion of the services required by this letter of agreement. 

ACTS OF GOD:
If an act of God, such as a fire, flood, earthquake or other natural calamity shall cause you to cancel your wedding; I
will require payment only for the time actually spent planning your wedding.
